Expand Your Team: Invite New Users to Your Assetbots Database 

Having a team collaborate on managing your assets in Assetbots can boost efficiency and streamline workflows. Here's how to invite new users to your database and assign them appropriate roles: 

Granting Access Through Permissions: 

  1. Navigate to Settings: Locate the Settings section within your Assetbots homepage (denoted by a gear icon on the left side of your homepage) 
  2. Access Permissions: Within Settings, click on the "Permissions" section. This section allows you to control user access to your Assetbots database. 
  3. Default Permission: In the “Collaboration” section the default permission is set to “Anyone with the link,” to require controlled access click on the “Only specific users” button. 
  4. Invite New Users: Under the "Users" section within Permissions, locate the "Invite" button or the “Invite User” button. Clicking one of these buttons will initiate the invitation process. 
  5. Enter User Email and Select Role: A pop-up will appear, allowing you to enter the email address of the user you want to invite. Additionally, you'll be required to select a role from the list. Assetbots offers five roles: 
    • Owner: Has full control over the database, including managing users and their permissions. 
    • Administrator: Can read and write data, as well as invite users and manage their permissions (except for Owners). 
    • Writer: Can read and write data but cannot invite users or manage permissions. 
    • Borrower: Can read data and checkout assets but cannot add or edit anything 
    • Reader: Can only read data within the database 
  1. Send the Invitation: Once you've entered the email address and selected a role, click the "Invite User" button to send the invitation to the new user. 


New User Workflow: 

The invited user will receive an email notification containing a link to join your Assetbots database. They will need to click the “Accept Invitation” button in the email sent. This will bring them to Assetbots to create an account if they don't already have one or sign in with their existing account to complete the access process. 

Additional Notes: 

  • You can manage existing user permissions and remove users from your database within the Permissions section of Settings.
